Hands-on workshop details of participation

The hands-on workshop pavilion is located in the Expo and can be found on the right-hand side of the map.

Setup process

Station setup begins 90 minutes before each session. Please schedule your staff to carry this out at the earliest possible time.

If SIR staff are available, setup may be extended

If you are set to participate in one of the morning workshop sessions, we do permit setup the night before, during a small window after the last workshop ends up until the Expo closes (i.e., from 4:30 pm to 5:00 pm). Please note that the workshop space is not locked so any materials left in this space might not be secured.

Breakdown of your setup should take place immediately following conclusion of the session.

If you are participating in two sessions back to back, and would like to leave your hands-on setup in place, please check with SIR staff. There is some chance your sessions are on one side of the workshop space or the other and may need to be moved.

Morning Access

Please note that for morning workshops, these sessions and the setup time before occur before the SIR Expo opens. For morning participants, SIR Expo Security have been alerted that a limited number of people will be accessing the Expo early as attendees or supporters of the hands-on workshops. When you approach the Expo entrance, in the event Security approaches you or one of your staff, please let them know you are entering to support the hands-on workshops and they will admit you into the space.

Setup details

To conduct these activities, SIR designs and builds a workshop pavilion within the Expo, which is used to host multiple hands-on sessions over the course of the meeting.

At each session, a variety of hands-on stations are presented to attendees, featuring a mix of corporate-driven and clinical expert-driven demonstrations.

Please refer to the below diagram for an illustration of the pavilion.

When a company joins a hands-on workshop, they should expect:

  • A single, preset hands-on station, designed to provide the chance to produce a hands-on experience equitable with - and set alongside of - other hands-on demonstrations
  • A single, counter-height table in a clean, dedicated workshop space
  • A visible sign designating your company's station to attendees
    • Please do not bring your own branded signage
  • Neutral table drape
    • Please do not bring your own branded draping
  • Standard, North American multi-outlet power strip (120V / 60Hz electricity; plug Type B)
    • Please see the exhibitor service kit for any electric/AV orders over and above these provisions (to be released promptly). *Important* please coordinate with SIR staff to make sure your AV order is properly delivered. Contact clopez@sirweb.org.
  • We do not provide animal or food samples (e.g., beef livers, olives and so on).
  • There will be no radiation-emitting products of any kind.
  • Requests for a standard-height table, additional table space, or other adjustments to the standard setup can be made through the registration form or by contacting us directly, and will be approved/accomodated as space and other resources allow. Contact clopez@sirweb.org.


Each 1.5-hour workshop may register up to 80 SIR attendees. Please note, during any single session time, two coinciding workshops are offered in tandem. As the workshop space is connected, for most sessions attendees will be able to circulate at their own free will between both sessions, for a maximum potential audience of 160 attendees. *

While time constraints may ultimately limit the number of attendees who pass by your hands-on station, please bring a sufficient number of non-sterile samples for every attendee to touch and deploy.




Materials Storage

To facilitate the delivery of hands-on materials for use in these sessions, an hands-on storage unit will be assembled adjacent to the workshop pavilion in the SIR Expo.

Use of this storage is complimentary; it is not required.

You may hand-carry your relevant inventory to this storage unit or you may ship materials directly to this unit. Click the link above to  If sending your materials directly to one of the linked labels in addition to your shipping label (UPS, FedEx, etc.) to have those packages routed directly to this holding unit. Access to the storage unit at minimum will coincide with setup through breakdown of the hands-on workshops themselves. The daily schedule is:

7:00 am – 11:00 am
1:30 pm – 5:00 pm

If SIR staff is available, you can access this storage unit beyond these hours.

Shipping Out

Exhibitor Services will be doing a pick-up of packages left in the Hands-On Storage Unit at the conclusion of the meeting.

To be certain your packages are delivered and shipped out properly, your company will need to complete and submit the proper form with Exhibitor Services, and label all boxes properly (for example, FedEx or UPS).

This package pick-up is only at the conclusion of SIR 2023 and is only the regular package handling service for exhibitors. Anything needing expedited or special removal (for example, immediate shipping to the next conference, pressurized gas canisters or other pieces requiring special handling) must be treated separately in accordance with the usual needs of those items. If you are using a different outbound shipping service, that will need to be scheduled individually. Please let me know ASAP if I can help arrange additional logistical support of your outbound packages.

You may of course bring back any materials to your booth after conclusion of a workshop session for packing and outbound shipping there.

Materials allowed

Product samples for demonstration, and all ancillary materials required for proper operation/deployment of a product (ultrasound gel, monitors, gas canisters, etc.) are the responsibility of your company.

Medical simulators, vascular models, simulated tissue samples, and other demonstration aids are highly encouraged and will not be furnished by SIR.

In addition, in the interest of getting these devices safely and effectively in to clinical settings, the below, non-promotional materials are allowed:

  • Clinical user guides
  • Training instructions, instructions for use
  • Peer-reviewed clinical reprints (unmarked or non-highlighted)
  • FDA clinical trial data (unmarked or non-highlighted)
  • Brochures for your corporate education programs and training courses
  • Company-provided lead generation including scanners and business cards
  • Audio-visual or multimedia presentations are also allowed but subject to certain guidelines. Please submit any presentations for content review at least 4 weeks prior to meeting start to clopez@sirweb.org.

The workshops must be free of promotional material. Please do not bring:

  • Company drape
  • Pop-up booths
  • Sell sheets, brochures
  • Any similar branded or trademarked materials with a message or design primarily intended to compel a purchase decision

While electricity will be provided for you, additional electrical support and A/V equipment such as monitors, displays, computers, laptops, or other technology will need to be ordered by your company. Similarly, phantom animal tissue (as ordered through the catering service) is your responsibility. Please contact SIR staff to note the expected delivery of these materials so as to match this equipment or catering to your assigned station.

Your company may participate with your investigational medical device even if it is not FDA-approved, however, please notify us in advance if this will be the case. Please create and post a visible sign on FDA status (such as small tabletop notice) and/or prepare your staff to preface all discussions with this disclosure.

Please encourage touching - the more interactive your station, the better. Models, phantoms and medical simulators highly encouraged.
