Exhibitor Housing and Badge Registration
SIR's designated housing bureau is Maritz Global Events. It is a requirement that all exhibitor housing (sleeping rooms and suites) be requested through our housing bureau. Improper solicitation from any company or housing provider other than Maritz Global Events is not approved by SIR.
Piracy solicitations: Reservations made by unaffiliated organizations may appear to offer lower rates; however, they are illegitimate and may have unreasonable cancellation or change penalties or may be completely non-refundable.

SIR EXHIBITOR HOUSING/REGISTRATION PROCEDURES
GETTING STARTED
Please read the following information before proceeding to reserve rooms and register badges:
- SIR 2023 housing and badge registration opened to registered/paid exhibitors on Tuesday, October 4, 2022.
- Accommodations are available on a first-come, first-served basis.
- Companies are required to book attendee hotel rooms through SIR’s designated housing provider, Maritz Global Events, before they will be able to register those attendees for SIR 2023 badges.
- No housing request(s) will be processed until booth space is paid in full.
- SIR 2023 Expo Hours can be viewed here. When booking rooms, please ensure you are booking based strictly on confirmed need, as cancellation penalties will apply for unused/reduced/cancelled reservations.
- If your company wishes to register a local attendee that will not require a hotel room, please contact Susie Evenden to receive a reservation code that will allow for a registering an attendee without an associated hotel reservation.
- SIR has separate housing procedures for exhibitors requiring 9 or fewer reservations and those requiring 10 or more reservations for the meeting. Please find instructions for these two booking types below:

Cancellation policies
Reservations cancelled prior to December 5, 2022 will not be charged a penalty. On or after December 5, 2022, the following per reservation cancellation fees apply (without exception):

* For cancellations after February 7, 2023, in addition to SIR’s per reservation cancellation fees cited above, exhibitors may also be liable to the hotel for a cancellation penalty of one-night room and tax, per cancelled reservation, according to the hotel’s cancellation policy.

Cancellation policies
You will be held financially responsible for 90% of the room nights that you request in your block.
Example: If you request 30 rooms on Tuesday, 50 rooms on Wednesday, and 20 rooms on Thursday, you will have 100 total room nights requested. You will be responsible for using at least 90 room nights. If you only use 80 room nights, you will be charged an attrition penalty fee by SIR equal to 10 nights room and tax.
The last day to adjust the number of room nights in your requested room block is January 4, 2023. Any cancellations or reductions received after January 4, 2023 (whether handled through the housing bureau or with the hotel directly) that result in your group’s total room nights being lower than the required 90%, may result in an attrition fee.
If you wish to release any unused room nights in your block, please send an email to
SIREXH@maritz.com and we will add those room nights back into general inventory in an effort to resell them and potentially reduce or avoid a penalty. This does not guarantee that you will not have to pay a penalty if your actual number of room nights fall below 90%, but our goal is for no one to have to pay a penalty.
Room block assignment
To assign unique names to each room held in your block, you have two options. As the group contact, you may enter each person individually via the online portal or simply complete the Maritz Global Events "Reservation List Drop Off" tool (located on your Dashboard) and Maritz will be happy to assist. Unique names are required for each reservation. Incomplete or TBD information will not be accepted by the hotels. Please note the following submission deadlines:
- Uploading a reservation list to Maritz - February 1, 2023
- Entering individual reservations online - February 7, 2023
CHANGES, BILLING & SUITES
Changes and modifications
You may continue to make changes directly with Maritz Global Events until February 7, 2023 either online or in writing to SIREXH@maritz.com. If you need assistance you can call (864) 658-5315 or email SIREXH@maritz.com. You may contact the hotel directly starting February 15, 2023.
Suite requests
Suites may be requested through the Exhibitor Housing and Registration process. The deadline for Exhibitor Suite Requests is December 5, 2022. Any company seeking to reserve a hotel suite must submit a formal request through the SIR Hotel Reservations Portal.
Billing
Exhibitors seeking to arrange/confirm custom or direct billing with their respective hotel, must do so by contacting the hotel directly. Please note that hotels may require up to 3 months to process billing/credit applications. Applications for billing arrangements with the hotel should be submitted before December 5, 2022 to allow ample processing time.
