Plan Your Exhibit

As an exhibitor at WUI, we want to make sure you have a positive experience. This page will be your first stop for all the logistical information and forms needed to set-up your exhibit. Order forms, including housing and exhibitor registration details are below.

Final payment deadline is October 2, 2023. Please note that after November 1, 2023 a $200 late fee will be applied to any outstanding balance that are more than 30 days past due. Login to your exhibitor dashboard to pay online or download your invoice. Access Key required, contact exhibits@iafc.org for assistance.

  5:00 PM All exhibitors must be moved-out.

*Vehicle displays MUST submit a Form prior to Move-in.

  • Booth Package / Each exhibiting company receives:
    • One 6' black draped table
    • Two side chairs
    • One Wastebasket
    • Linear booths with pipe and drape will also receive one 7" x 44" company identification sign
    • 3 Exhibitor Badges per 100 square feet; 2 additional badges for each additional 100 square feet. (Additional booth staff badges can be purchased for $50 each)
    • Additional items, including electricity, may be ordered through the exhibitor service manual.

  • Exhibitor Tips:
    • Beware of Poachers: Exhibitors are often contacted by various vendors looking to get your business. Some of these companies may misrepresent themselves as being associated with IAFC. You may be solicited by companies selling attendee lists, housing companies, etc. If you have any questions, please contact us prior to ordering. The Expo Group is the official contactor for freight, furniture, etc. for your booth and IAFC is the only provider with access to attendee lists.
    • Submit electrical and telecommunications floorplans in advance. This allows The Expo Group and the Peppermill to review prior to your arrival onsite.
  • Exhibitor Marketing Toolkit:
    • The marketing toolkit will be available in early 2024 including pre-made graphics and social media template to promote your presence at WUI 2024.

In order to secure WUI conference room rate, please only use the links WUI will provide. Booking outside of room block will not guarantee you the listed rates. Housing will open with registration in early 2024.

2023 Room Rates:
Peppermill Tower: $135/night plus taxes
Tuscany Tower: $185/night plus taxes

Exhibits Facility
Exhibits are located in the Tuscany Ballroom. All freight will be offloaded via pallet jack. Please contact exhibitorservice@theexpogroup.com if you require a fork lift to unload your vehicle. Be sure to complete the Vehicle Display Form, if you will have a vehicle in your booth.

Exhibitor Appointed Contractor (EAC)

An EAC will only be granted access to the show floor if show management has received the EAC Work Authorization Form and a valid Certificate of Insurance (COI). There will be no exceptions. EAC Forms and COIs are due February 26.

Registration
Be sure to pre-register your booth staff online to expedite the badge pick-up process. A Registration Code will be emailed to the main exhibitor contact in early 2024. ALL booth personnel must check-in at the Registration desk.
